Best lead generation tools for small businesses and what you pay in year two

Pick one tool for each job: catch visitors, find contacts, track leads, and send follow-ups.

The five below cover those jobs: OptinMonster, HubSpot, Pipedrive, Hunter, and Apollo.

Start on free plans. OptinMonster Basic costs $108 for the first year and $210 for the next.

HubSpot's free CRM allows up to two users and 1,000 contacts.

What you need before you start

Gather four facts first. Each one changes which tool you pick or what you pay.

  • The number of people who will use the tools. Prices below are for each user.

  • Whether you have a website. Without one, you have no visitors to catch.

  • The most you can pay each month. Write it down before you open a pricing page.

  • The number of businesses you plan to contact each month. Credits depend on it.

This guide leaves out ad platforms, real estate lead tools, and suites for big sales teams.

To hire an agency instead, read how to compare lead generation service quotes before you sign.

Pick one tool for each job

The table below gives one tool per job, with its free plan, its yearly price and what changes after year one. Prices are in dollars as of 22 October 2026.

Starter: $7 for each user, each month, for new customers

Up to $20 for each user, each month

Track leads

Pipedrive

14 day free trial, no card

Lite: $14 for each user, each month

No renewal price listed

Hunter's prices come from its pricing page. Apollo's prices come from its own article dated 17 September 2026.

I'd pick one contact tool, not both. Hunter and Apollo both find emails and send sequences, so a second one repeats the job and adds a bill.

Catch visitors who already reached your site

What happens: Add OptinMonster to your site if people visit and leave without giving an email address.

Basic covers 1 site and 2,500 views a month.

Plus covers 2 sites and 10,000 views a month. The pricing page says to pick 20 to 30 percent more views than your site gets.

Done when: you know your monthly visitor count and have found the plan that covers it with room to spare.

Find contacts when you have no list

What happens: Choose Hunter or Apollo. Hunter Starter costs $34 a month when you pay for the whole year. Apollo Basic costs $49 for each user, each month, billed yearly.

Before you spend credits, read about how accurate email finder tools are.

Done when: you have picked one contact tool and written down its credit rule.

Track every lead in a CRM

What happens: Put each lead in one CRM, with a next step and a date. HubSpot's free CRM is the $0 start. Pipedrive Lite costs $14 for each user, each month, billed yearly.

Pipedrive keeps its lead tools on higher plans. Premium costs $59 for each user, each month, billed yearly. It includes a chatbot, live chat, Prospector and web forms.

Ultimate costs $79 and includes the lead generation add-on. Lite and Growth list none of these.

Done when: every lead you plan to contact sits in one list with a next step.

Send follow-ups from a tool you already pay for

What happens: Hunter's free plan connects 1 email account. Apollo Basic includes email sequencing.

Pipedrive Growth lists sequences at $39 for each user, each month, billed yearly.

Done when: each lead has one follow up date, set in the tool that sends the email.

Pick your stack by situation

This table matches four common situations to a starting stack. Costs are today's prices on yearly plans.

Watch for

You have a website and no email list

HubSpot's free CRM and OptinMonster Basic

$0 for the CRM, $108 for the first year of OptinMonster

A $210 renewal and a monthly view cap

You have no website and sell to businesses (B2B)

Hunter or Apollo, plus HubSpot's free CRM

Hunter free is $0, and Hunter Starter is $34 a month

Credits that run out or expire

You already use a CRM

One contact tool and nothing else

Hunter Starter at $34 a month, or Apollo Basic at $49 for each user, each month

A tool that repeats your CRM

You have no budget

HubSpot's free CRM and Hunter's free plan

$0

2 users, 1,000 contacts and 50 credits a month

Can you generate leads without a website?

Yes. Skip the visitor tool, because you have no visitors to catch. Use a contact tool to find emails, a CRM to track replies, and cold email to reach people.

What to do if you already have a CRM

Add one contact tool and stop there. Pipedrive Premium costs $59 for each user, each month, and Pipedrive Lite costs $14.

The gap is $45 for each user, each month ($59 minus $14).

Hunter Starter costs $34 a month for the whole team. Compare the two before you move up a CRM plan for its lead tools.

Free lead generation plans and what they cap

HubSpot's free CRM and Hunter's free plan make a free start. Hunter's help page and HubSpot's CRM page list these caps.

  • HubSpot's free CRM: up to 2 users and 1,000 contacts.

  • Hunter's free plan: 50 credits a month, 30 AI Discover searches a month, 1 email account and 500 recipients per sequence.

  • Hunter's free exports: limited to 10 emails per domain.

  • Locked on Hunter's free plan: link tracking, sequence reporting and automatic lead verification.

What each tool costs after the first year

A price you see today may not be the price you pay next year. Here is what each pricing page and set of terms says.

OptinMonster renews at its normal price

This table shows what each OptinMonster plan costs in the first year and at renewal.

Plan

First year

Next year

Increase

Basic

$108

$210

$102, or 94 percent

Plus

$324

$570

$246, or 76 percent

Pro

$444

$870

$426, or 96 percent

Growth

$804

$1,470

$666, or 83 percent

New plans are billed yearly by default and renew on their own. Canceling stops the next renewal, and your account keeps working until the term ends.

Renewals can't be refunded. The OptinMonster cancel page says: "Neither free trial accounts nor renewals are eligible for refunds."

HubSpot Starter can renew at the regular price

HubSpot Starter costs $7 for each user, each month, for new customers for a limited time. You pay for the whole year up front.

For 1 user over 12 months, that is $84.

The regular price is $20 for each user, each month. For 1 user over 12 months, that is $240.

That is $156 more than the first year, or 186 percent more.

The HubSpot terms, last modified 16 September 2026, say it may raise your price up to its regular price at renewal. It must tell you 30 days ahead. The plan renews for the shorter of your last term or one year.

To stop it, turn off auto-renew in Account & Billing before the term ends. The terms call paid fees non-refundable.

Here are three of these jumps side by side.

HubSpot Starter can renew at the regular price

OptinMonster Basic rises 94 percent and Pro rises 96 percent. HubSpot's rise depends on the price at renewal and reaches 186 percent at the regular price.

Pipedrive, Hunter and Apollo show no renewal price

The pages for Pipedrive, Hunter and Apollo show no renewal price. Ask for your year two price in writing before you pay for a year.

Hunter Starter shows why the billing choice matters. It costs $34 a month when you pay for the whole year, which is $408.

It costs $49 a month on monthly billing, which is $588 over 12 months. The gap is $180.

How credits and plan limits work

This table shows what each tool counts, when the count resets, and what happens at the limit.

The Hunter row comes from Hunter's pricing page and the Apollo row from Apollo's credits page, both as of 22 October 2026.

Tool

What it counts

When it resets

If you run out or pass the limit

Hunter

Credits

Monthly on monthly billing, and all credits up front on yearly billing

The page doesn't say what happens to unused yearly credits

Apollo

Credits

The first day of each billing cycle

Credits expire at the end of each cycle and don't roll over

OptinMonster

Views

The start of each calendar month on paid plans

The default moves you to the next plan up

Hunter credits on monthly and yearly billing

On monthly billing, Hunter credits reset each month and don't roll over.

On yearly billing, all credits are available up front for the whole year.

Starter has 2,000 credits a month, or 24,000 a year.

Hunter doesn't spend a credit when a search finds no email. A failed verification costs no credit either.

Apollo credits expire each billing cycle

Apollo credits expire at the end of each billing cycle. They don't roll over at renewal. On an annual plan, all credits load at the start of the year.

Credits you don't use end with that year.

What happens when you pass an OptinMonster view limit

OptinMonster doesn't switch campaigns off by default when you pass your monthly limit. It follows the upgrade preference set on your account.

  • Automatic upgrade: the account moves to the next plan that fits your use. Monthly plans move to the next monthly plan, and annual plans to the next annual plan.

This is the default for Free, Basic, Plus, and Pro.

  • View blocks: 100,000 extra views at $29 for each block, each month. This is the default for Growth and Enterprise.

  • Suspension: campaigns pause until the month resets.

Say Basic allows 2,500 views a month and your site gets 3,000. That is 500 over the limit, and the default moves you up to Plus.

Change the choice under Pageview & Upgrade Preferences on the Manage Subscription page.

If an upgrade fails, you get a 3-day grace period and an email. Then campaigns pause for the rest of the month.

What a one- to three-person stack costs a month

This example prices a CRM and one contact tool. All prices are list prices on yearly plans as of 22 October 2026. They are inputs for an example, not a quote.

Two options for 3 users

Take 3 users for 12 months. Use Pipedrive Lite as the CRM.

Pipedrive Lite costs $14 for each user, each month. For 3 users, that is $42 a month.

Option A adds Hunter Starter. It costs $34 a month for the whole team, because it has unlimited team members.

Option A costs $42 plus $34, which is $76 a month. Over 12 months, that is $912.

For Option B, swap in Apollo Basic. It costs $49 for each user, each month. For 3 users, that is $147 a month.

Option B costs $42 plus $147, which is $189 a month. Over 12 months, that is $2,268.

The gap is $113 a month, since $189 minus $76 is $113. Over 12 months, that is $1,356.

For 1 user, Option A costs $48 a month ($14 plus $34). Option B costs $63 a month ($14 plus $49).

Here are the 3-user totals side by side.

Two options for 3 users

Hunter's price stays flat as you add users, and Apollo's price grows with each user.

Check the credits on each plan before you compare price.

Hunter Starter has 2,000 credits a month, and Apollo's amount for Basic is on its pricing page.

The same stack with OptinMonster in year two

Add OptinMonster Basic to Option A for 3 users. The first year costs $504 for Pipedrive, $408 for Hunter, and $108 for OptinMonster. $504 plus $408 plus $108 is $1,020.

In year two, OptinMonster costs $210. If the other two prices stay the same, the total is $504 plus $408 plus $210, which is $1,122. That is $102 more.

No page lists the year-two price for Pipedrive or Hunter, so the $1,122 holds only if they stay the same.

B2B lead generation best practices show how to set the most one lead can cost, so you can compare it with your monthly total.

Rules for the emails these tools send

The FTC CAN-SPAM guide lists the United States rules that apply from your first cold email.

  • Honor an opt-out request within 10 business days.

  • Put your valid physical postal address in the message.

  • Each separate email in violation can cost up to $53,088 in penalties.

Hiring a company to send the email does not pass the legal duty to it, the guide says.

Copy this buying checklist

Fill in one copy for each tool before you pay for a year.

BEFORE I PAY FOR A YEAR
Tool: ____
Users counted: ____
Price for year one: ____
Price for year two, asked in writing: ____
Renewal date: ____ (calendar reminder set 45 days before)
Auto renew switched off on the day I bought: yes / no
Monthly limit or credits: ____
What happens when I pass the limit: ____
Credits expire at the end of each cycle: yes / no
Refund after renewal: yes / no
Contacts exported before the plan ends: yes / no
Postal address and opt out link in every email: yes / no

If a tool leaves two lines blank, I'd not pay for a year yet. OptinMonster's cancel page says an expired account may be permanently deleted, so export your contacts first.

The biggest mistakes when you buy lead generation tools

I'd say the biggest mistake is paying for a year before you know the renewal price. The table lists four costly cases.

Symptom

Cause

Fix

A charge for a tool you no longer use

Auto renew stayed on after year one

Switch off auto renew when you buy, and set a calendar reminder

Pop ups pause or the plan moves up mid month

Visitors, including bots, passed the monthly view limit

Pick a plan with 20 to 30 percent spare views, and set your upgrade preference

Credits gone before you used them

Credits expire at the end of each billing cycle

Match the credits to what you will use in that cycle

Lead tools missing from the CRM you bought

The tools sit on a higher plan

Check the plan list for chatbot, forms and Prospector before you buy

Trustpilot reviews of OptinMonster show the first two cases. A reviewer who gave five stars in January 2026 wrote that he forgot the annual renewal until a month after the charge.

Another reviewer wrote in June 2026 that heavy bot traffic drained the campaign view limits, and support built a custom fix. OptinMonster replied to both.

The pricing page prints the renewal price under each plan.

The biggest mistakes when you buy lead generation tools

Look for the line that reads Renews at normal before you pay.

Frequently asked questions

What are the top 5 lead generation tools for a small business?

OptinMonster, HubSpot, Pipedrive, Hunter, and Apollo cover the four jobs in this guide. Pick one tool for each job.

Hunter and Apollo both find contacts, so pick one of them.

Do I need a CRM before I buy a lead generation tool?

Yes. Set one up first, so every lead you find has a place to go. HubSpot's free CRM costs $0 for up to two users and 1,000 contacts.

What is the 5 minute rule for leads?

Reply to a new lead within 5 minutes. A 2011 study of 1.25 million leads, reported by SmartCompany, found a clear gap.

Firms that replied within an hour were nearly seven times as likely to qualify the lead as firms that waited longer. A reply in 5 minutes sits well inside that hour.

Can ChatGPT do lead generation?

ChatGPT can draft cold emails and sort a list you already own. Check every email address it gives you before you send. Free AI tools follow the same rule.

Start free, add one paid tool, calendar the renewal

Open the free CRM first. Add one paid tool only when a free plan cap stops you. Put the renewal date in your calendar before you pay, and switch off auto-renew the same day.

If a seller won't state the year two price in writing, pick another tool.
